Cleaning & Quality Systems
Every job, however simple, requires ways of ensuring affectivity. Cleaning is a job that is very important and crucial for any operation in all areas of our lives. There are several ways of ensuring cleaning is effective, which can include cleaning specifications, training and development of cleaning staff and checklists. Some equipment as well as places to be cleaned might be complex requiring guidelines as well as checks to be sure everything is done perfectly.
Training and Staff Development
Training and development of staff is one of strategies used in organizations to ensure the continuous process through which employees acquire recent skill, knowledge and abilities to fit their jobs (zeromillion.com 2011). Training in cleaning and quality systems come in to teach the staff how to use the latest technology and concepts or techniques of cleaning using the most recent cleaning substances. For instance, when a new equipment that requires cleaning is developed, the staff will have to learn how to clean it, where to clean and what to avoid as well as how to go about the whole process. Through training and development, staff is able to learn new methods pf working. The advantage of training and development of staff is that the skills they acquire are used within their jobs, which improves performance, and fosters positive thinking of employee or staff. Some disadvantages may arise when staff is trained on new technologies and techniques when they are too eager to use them, and probably end up messing. In addition, motivation may also be lost if they will not have a chance to use the new skills (Ekot, 2010).
Cleaning Specifications
Any job no matter how complex of simple it is, there are certain tasks that are associated with the job, or a person has to do in order for the work to be considered done. The specific tasks can be written down in a job specification where the person doing the particular job is aware of what they are expected to do as well as where and when. With a job specification, several benefits are observed, to both the organization and the staff person. With a job specification, the organization is able to match the skills of a staff member with the job required done. The staff too can match their skills and abilities to find out if they are eligible for the job (humanresources.hrvinet, 2011). In addition, having cleaning specifications sets out the standards expected of the cleaners. It is also important in helping the organization to assess the performance as well as assessing the work itself. One of the disadvantages of cleaning specifications is that they are not very flexible, and may not allow an employee to use their creativity where it would be of benefit (managementstudyguide.com 2012).
Checklist
Some cleaning might require several processes and places to clean, which one could forget easily. Checklists come in as reminders of checking whether everything is done. With a checklist, one can check each area that is written to find out whether cleaning has already taken place. Therefore, cleaning checklist ensure effective cleaning through setting out a means for checking out what is supposed to be done as well as providing a sequence of doing the tasks. With a checklist, one is sure to take on routine jobs efficiently and with completeness since one does not forget any (Latumahina, 2012). Some of the advantages of using a checklist in ensuring effective cleaning are that one does not have to struggle remembering all the processes ad tasks. In addition, checklists help in delegating tasks to others since tasks are written down and others can use them to check their work. It also helps one to remember cleaning regularly by looking at it, rather than cleaning when a place is too dirty. It also helps in setting priorities. However, it also has its disadvantages depending on the user. Some people find distracting to have checklist since they have to keep checking every task, while they prefer concentrating to the end (Flanery, 2012).
